General Rules
Leasing Policies:
• To secure a date at McArthur Ranch Manor, a reservation/damage deposit
of $1,000.00 and a signed lease agreement must be received. No date is confirmed
until your deposit has been processed. Full payment for the lease term and
associated charges is due six (6) months prior to the lease period.
• All payments made to McArthur Ranch Manor, LLC in CERTIFIED FUNDS.
• Please be aware that as the Tenant you are responsible for any damage
created by your guests, caterer, or any other individual during the lease
term.. Your liability for damages is in no way limited to the amount of
your damage deposit.
Cancellation Policy
All cancellations must be made in writing and by certified mail, return
receipt requested, to ensure receipt. Cancellations in writing should be
sent to: McArthur Ranch Manor, LLC, P.O. Box 24559, Denver, Colorado 80224.
• There are fourteen (14) days, from the time we process your reservation/damage
deposit, in which you may choose to cancel your lease, for any reason, and
receive a full refund. After fourteen (14) days, the deposit becomes non-refundable
if your lease must be cancelled.
• If you must cancel your lease after your full lease fee is owed
(six (6) months prior to the lease period), a portion of the leasing fee
is refundable only if the property is re-leased during the same period.
Smoking
• Smoking is only permitted outside of the building in designated
areas.
Set up/Clean up
• It is the Tenant’s responsibility to inform all personnel
that they may not be on the premises prior to, or after the scheduled setup
and cleanup times.
• Items not removed within your licensed time, without proper approval,
will be disposed of with no liability by McArthur Ranch Manor, LLC. Failure
to remove some items may result in charges assessed against your reservation/damage
deposit. McArthur Ranch Manor, LLC is not responsible for lost, misplaced,
damaged, or stolen items.
• No table breakdown or chair stacking is ever allowed prior to contracted
end of event time.
• Cleaning: property shall be returned to McArthur Ranch Manor, LLC
in the same condition Tenant took possession of the property and Tenant
is liable for cleaning fees in the amount of $500 if the property is not
returned in the same condition.
Parking
• McArthur Ranch Manor, LLC. requires Tenant to hire, at Tenant’s
sole expense, the services of one of the following valet service providers:
VIP Valet.
• Your guests may not loiter in the parking lots during or after the
event. All guests must leave the building and parking lots promptly at the
conclusion of your scheduled guest times. All guest conduct is the direct
responsibility of the Tenant.
Rehearsals
• Rehearsals are scheduled as timing and space permit. Every effort
will be made to meet your specific requirements; however, availability cannot
be confirmed prior to four (4) to six (6) weeks in advance of your event.
Animals
Pets of any kind, with the exception of Guide Dogs, are not allowed.
Decorating
• Absolutely no material of any kind may be attached, in any way,
to the walls, ceilings, doors, or any part of the building structure without
prior written approval. Glitter, confetti, rice, birdseed or spray string
may not be thrown or used in decorating anywhere on the property. White
or silk flower petals (only) are a beautiful alternative. Wedding bubbles
are only allowed outdoors.
• Christmas decorations will be up from the second week of December
through mid-January. These may be added to, but may not be taken down.
• Candles must be enclosed in glass. Votive and “drip-less”
candles are recommended.
• Helium balloons are permitted, but every effort must be made to
keep them from being released to the ceiling. A $10 per balloon charge will
be accessed to remove any stray balloons from the ceiling before the next
event, due to the difficulty of removing same from our 20’ high ceilings.
Guest Conduct
• McArthur Ranch Manor, LLC reserves the right to inspect and control
all activities held on the Demised Premises. No weapons, drug use, underage
drinking, gambling or any other illegal activity of any kind is ever allowed
anywhere on the property.
• The conduct of guests is the sole responsibility of the Tenant.
McArthur Ranch Manor, LLC, if necessary, shall require disorderly guests
to leave and, if necessary, notify the Douglas County Sheriff. If the lease
policies are intentionally violated or if any guest’s conduct becomes
abusive or dangerous to the site, its furnishings, or any individual therein,
the use of the facility will be terminated and all fees paid are non-refundable.
• Damage caused by any vendor or guest will be the sole responsibility
of the vendor or Tenant.
Alcohol
• McArthur Ranch Manor, LLC. does not hold a liquor license. This
allows you the privilege of bringing in your own alcohol. No cash bar is
available unless a special event license is obtained through Douglas County.
• All alcohol must be served from the bar, only by a bartender hired
through one of the caterers on our Exclusive List of Vendors. No alcohol
is allowed beyond the Demised Premises for any reason.
• You may not serve alcohol to any person under 21 years of age and
we reserve the right to require proof of age for guests who are drinking
alcoholic beverages. Any underage drinkers will be asked to leave the Demised
Premises. No shots are ever allowed.
• The bar may not open until after a wedding ceremony. Bar service
must cease one-half hour before the close of your event and liquor may not
be served for more than five (5) hours total.
• McArthur Ranch Manor, LLC reserves the right to stop the service
of alcohol to any individual, group, or event at any time.
• McArthur Ranch Manor, LLC requires Tenant to hold insurance through
your homeowners, rental liability or commercial insurance carrier, which
provides for food and liquor liability coverage and general liability coverage.
Catering
• To ensure that activity at McArthur Ranch Manor, LLC. is professionally
planned and managed, we require the Tenant to choose a caterer from our
Exclusive List of Vendors, which includes:
Caterer will provide all wait staff and bartenders. Caterer is responsible
for, among other things, event setup, bussing tables during the event, cutting
and serving cake, communicating with you and your vendors to direct the
event’s activities, staying for the entire event, and completing all
caterer clean up requirements. Caterer may bring food prepared, or ready
to finish at the site.
• NO TENANT SHALL BE PERMITTED TO BRING FOOD OF ANY KIND OTHER THAN
FROM ONE OF OUR PREFERRED CATERERS WHO ARE CONTRACTED FOR FOOD, AND ARE
CONTRACTED TO CATER THE EVENT.
• All caterers must attend the “walk-through” four (4)
weeks prior to the event and submit all
necessary documentation at that time.
Music
• Under no circumstances may Tenant have music or operate a sound
system in any way that would violate local noise ordinances.
• Live bands, taped music and disc jockeys are welcome at McArthur
Ranch Manor, LLC, but sound levels must be kept at a reasonable level. Bands
may only play in the basement. String quartets may play in the courtyard
and may play no later than 11:00 p.m. Because McArthur Ranch Manor, LLC
is climate controlled for your comfort, all doors and windows must be kept
closed. Failure to comply may result in the cessation of all music, for
the duration of the event.
Security
• Security will be required at all events involving over 75 people,
to ensure the safety of your guests and to regulate the flow of traffic
off of the property. McArthur Ranch Manor, LLC reserves the right to require
security for smaller groups, in our reasonable discretion.
• McArthur Ranch Manor, LLC shall hire Douglas County Sheriff officers,
at the expense of the Tenant, for any events requiring security at the sole
discretion of McArthur Ranch Manor, LLC.
Failure to adhere to any stipulations herein shall result in forfeiture of part, or all, of your damage deposit, and termination of the lease term.
Caterer Guidelines
1. At least thirty (30) days prior to the event, the Caterer (“Caterer”) must provide McArthur Ranch Manor, LLC (“McArthur Ranch Manor”) with copies of the following documents:
LICENSE TO OPERATE A FOOD SERVICE ESTABLISHMENT, STATE TAX LICENSE, and a CERTIFICATE OF INSURANCE, evidencing commercial liability and liquor liability insurance coverage in an amount deemed appropriate but not less than $1,000,000 Commercial General Liability Insurance and $1,000,000 under a General Commercial Liability Umbrella Policy, each naming McArthur Ranch Manor, LLC as an additional insured.
A COPY OF WORKMAN'S COMPENSATION INSURANCE FOR ALL EMPLOYEES, AS WELL AS A WAIVER OF SUBROGATION (Binders are not acceptable).
These certificates may be filed annually or for individual events.
UNDER NO CIRCUMSTANCES WILL A CATERER BE PERMITTED TO OPERATE AT McARTHUR RANCH MANOR WITHOUT ALL OF THE ABOVE-LISTED ITEMS.
2. The Tenant is required to select a caterer from the Exclusive List of Vendors for McArthur Ranch Manor.
3. It is required that all material and equipment (including tables, chairs, linens, flatware, tents, etc.) used at McArthur Ranch Manor is either rented through an exclusive caterer or an exclusive third party rental company identified on the McArthur Ranch Manor Exclusive List of Vendors.
4. No later than three (3) weeks prior to the event, a walk-through will be held, at which time the caterer's presence is required to go over the final details of the event. If the caterer does not attend, an additional $500 deposit will be assessed to the Tenant, to ensure compliance with our House General Rules and the Tenant’s requirements.
5. The license time includes two (2) hours of setup time prior to, and one (1) hour of cleanup time after the event. Please inform all of your personnel, Caterer, band, florist, designer, etc. that they may not be on the Demised Premises prior to or after the time referenced. Additional setup or cleanup time may be purchased (subject to availability). It is agreed and understood that event times are critical and Tenant shall have the use of the Demised Premises from 10:00 a.m. Mountain Time until 12:00 Midnight Mountain Time and Caterer shall restore the Demised Premises to their condition prior to the event by 1:00 a.m. on the day following the event. It is further understood and agreed that should Caterer or Tenant fail to deliver the Demised Premises as required herein, they shall be both jointly and severally liable for all of Landlord’s costs and expenses.
6. Caterers serving at McArthur Ranch Manor may bring food prepared or ready to finish at the site, and may prepare raw product in designated areas.
7. Caterer's staff must be prepared to set up all chairs and tables for any catered event. Ceremony chairs, if applicable, will also be set up by the designated Caterer. The room configuration or reconfiguration will be the responsibility of the Caterer.
8. Caterer will provide bar staff and handle bar service. The bar will not be opened until after a wedding ceremony.
9. All alcohol delivery and removal from the Demised Premises must occur during contracted times.
10. Smoking is not permitted anywhere inside any building at McArthur Ranch Manor. Designated areas for smoking are located outside of the facility.
11. Absolutely no garbage or grease in the sinks or toilets. The Caterer must provide large trash bags to remove any and all food by-product from said event.
12. Furnishings may not be moved without permission and supervision of a representative of McArthur Ranch Manor. All furnishings must be moved back to their original locations. "Furnishings" refers to anything inside of any building at McArthur Ranch Manor.
13. No material of any kind whatsoever shall be taped, stapled, nailed, or otherwise attached to the walls, floors, or ceilings on the Demised Premises, without prior consent from a representative of McArthur Ranch Manor.
14. If any special electrical power requirements are needed, they must be approved in advance by McArthur Ranch Manor, with reasonable advance notice, to insure availability.
15. Specific event design is to be made available by the Caterer chosen from the Exclusive List of Vendors, which shall identify the placement of: buffets, bars, staging, tables, chairs, dance floor area, etc. at the walk-through at least three (3) weeks prior to the event.
16. No rice, birdseed, confetti, glitter, silly string or fireworks are permitted anywhere on the Demised Premises. White or silk rose petals (only) are allowed, but must be quickly removed.
17. No pets or animals are allowed on the premises at any time, with the exception of guide dogs, or horses provided by a horse and carriage service, without prior consent.
18. South Metro. Fire Department Code requires all candles to be encircled by glass. "Drip-less", floating, and votive candles are recommended. Prior approval of questionable decor is advisable to ensure usage. A Unity candle may be used outside of glass during a wedding ceremony only. Every effort must be made to prevent wax damage and to prevent children access to burning materials.
19. McArthur Ranch Manor must be checked for items resulting from use, and disposed of properly.
20. No propane or other flammable liquids will be allowed inside the residence. Sterno and small butane stoves are acceptable under very close supervision. For outside use of these fuels, authorization is required by a representative of McArthur Ranch Manor to ensure proper distance from the Demised Premises, and that all requirements have been met (i.e., fire permits, fire extinguisher, etc.).
21. The Caterer will be in charge of cleanup of the Demised Premises. If the Caterer fails to cleanup, the Caterer and Tenant shall be jointly and severally liable for all of Landlord’s costs and expenses
22. At the end of the event, Caterer shall immediately remove all trash and debris from the property at McArthur Ranch Manor.
23. Alcohol service shall cease at least one-half hour prior to the conclusion of the event. Any music or entertainment must be scheduled to end promptly at the specified conclusion of the event.
24. Upon completion of the event, all material and equipment must be removed from the Demised Premises, including, without limitation, all: tables, chairs, banquet tables, and all other equipment used for said event. McArthur Ranch Manor shall be swept and mopped with proper cleaning supplies suitable for hardwood floors. All areas within the Demised Premises must be swept and completely mopped, vacuumed, and all other surfaces and areas must be cleaned pursuant to returning said property to McArthur Ranch Manor in identical condition as Tenant/Caterer took possession of the Demised Premises.
25. Caterer is to check out with representatives of McArthur Ranch Manor at the completion of the event, whereby McArthur Ranch Manor shall confirm whether or not all cleaning and other policies and procedures have been followed and that the facility is left in satisfactory condition. All catering personnel must promptly and quietly leave the parking lots at the conclusion of the event.
26. McArthur Ranch Manor retains no responsibility or liability for any items brought onto the property or those not removed at the conclusion of the event. Caterer and/or rental companies must have items removed prior to the next scheduled event or before 7:00 a.m. on the day following the event. All items not removed within two (2) days will be disposed of at the sole discretion of Landlord.
27. Caterer hereby acknowledges receipt of a copy of the "Caterer Guidelines" and agrees to comply in all respects.
28. McArthur Ranch Manor reserves the right to refuse use of certain caterers, vendors, designers, rental companies, disc jockeys, bands and any other party supplying goods or services.
Each of the Tenant, the Caterer and any other
vendor hereby acknowledges receipt of a copy of the above "Caterer
Guidelines" and further acknowledges that any and all contracts for
services relating to the event are subordinate hereto.
